Our Policies

1. Purpose

This policy outlines the terms, responsibilities, and professional standards governing the services provided by AITAN The Admin Office LLC. It is designed to establish transparency, protect both parties, and ensure consistent, high-quality service delivery.

 

2. Scope

This policy applies to all consulting services offered by AITAN The Admin Office LLC and governs interactions with clients, contractors, and partners.

 

3. Engagement and Agreements

  • All consulting services require a signed Consulting Agreement/Contract prior to the start of work.

  • Services will not commence until the contract is executed and required deposits or payments are received.

  • Agreements cannot be postponed, transferred, or extended unless explicitly stated in writing.

 

4. Fees and Payments

  • Payment terms are clearly outlined in the contract.

  • Payments are non-refundable, except as required by law.

  • Late payments may incur additional fees.

  • Payment plans, discounts, or adjustments are provided at the sole discretion of AITAN The Admin Office LLC.

 

5. Deliverables and Deadlines

  • Consultants will make reasonable efforts to meet agreed-upon deadlines.

  • Client cooperation (submission of documents, timely communication, etc.) is required to avoid delays.

  • Deliverables are considered complete when submitted in accordance with the scope of work.

 

6. Confidentiality

  • All client information and documents will be treated as strictly confidential.

  • Consultants will not disclose or use client information outside of the agreed purpose unless required by law.

 

 

7. Client Responsibilities

  • Provide accurate, timely, and complete information.

  • Submit required documents by the agreed deadlines (e.g., enrollment applications by the 25th of the month).

  • Maintain open communication and respond promptly to consultant requests.

 

8. Open Enrollment and Time-Sensitive Services

  • If applying for programs that operate on enrollment cycles (e.g., state waivers, licenses), all documents must be submitted by the client by the 25th of the month.

  • Enrollment runs from the 1st through the 30th of the month. No extensions or exceptions will be made.

 

9. Communication

  • Official communication will be conducted via email or secure client portal.

  • Phone calls and text messages are limited to scheduled business hours unless otherwise agreed.

 

10. Cancellation and Termination

  • Either party may terminate the agreement in writing, subject to terms outlined in the contract.

  • Fees paid are non-refundable, and the client remains responsible for any outstanding balances.

 

11. Professional Conduct

  • Consultants will act with integrity, professionalism, and in the best interest of clients.

  • Clients are expected to treat consultants and staff respectfully and professionally.

 

12. Policy Review

This policy will be reviewed annually and updated as necessary to reflect legal, regulatory, or business changes.
